Who we are

North Grenville Hot Tubs & Saunas is a family-owned business at 5333 County Rd 19, Kemptville, Ontario K0G 1J0, owned by Blaine McAvoy. This policy explains what personal information we collect through our website, our customer portal and our staff portal, why we collect it, and how we protect it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).

What we collect and why

• When you sign up for Blaine's blog emails: your email, your first name if you give it, and a record of your consent (the wording you agreed to, the date and time, and the device and internet address used). We use it only to send you new blog posts and occasional news.
• When you buy from us: your name, address, city and postal code, phone, email, how you heard about us, what you bought, the price, deposit and balance, and your signature. We use it to prepare and keep your sales agreement, order and deliver your hot tub or sauna, register your warranty, and look after you as a customer.
• When you sign an agreement online: the date and time you signed, the name you typed, your drawn signature, and the internet address and browser you signed from. We keep this as proof of the agreement, the same way we'd keep a paper copy.
• When you use the customer portal: your sign-in email and the details of your purchase, so you can see your agreement and your tub's information.
• Staff: name, email and phone for the people who sell for us, plus the sales they made, so we can track deals and pay commission.

We don't sell your information, and we don't use it for anything you wouldn't expect from your hot tub store.

Who helps us run this

We use a small number of trusted service providers. Each only gets what it needs to do its job:

• Supabase stores our customer and sales records in Canada (Montreal).
• Resend sends our emails. It may process your email address and the email content in the United States.
• QuickBooks Online (Intuit) handles our invoices and payments. It receives your name, email, address and the invoice amount when we bill you.
• GitHub Pages hosts the public website, which doesn't store your personal information.

Some of these providers may store or process information outside Canada, where it may be subject to the laws of that country.

Payments

When you pay an invoice online, you pay through QuickBooks. We never see or store your card or bank account numbers on our website.

How long we keep it

We keep sales agreements and purchase records for as long as needed for warranty, service and tax purposes, generally at least seven years. Blog subscribers are kept until you unsubscribe. After that we keep only a record that you unsubscribed, so we don't email you again.

Your choices and rights

• Unsubscribe from blog emails any time with the link at the bottom of every email.
• Ask to see the personal information we hold about you, or ask us to correct it, by emailing info@northgrenvillehottubs.ca.
• Ask us to delete information we no longer need. Some records, such as signed agreements and tax records, we're required to keep.

How we protect it

Access to customer records is limited to Blaine and the staff who need it, and each salesperson sees only their own sales. Signed agreements are stored privately and shared only through short-lived links. Sign-in uses one-time links sent to your email, so there are no passwords to steal.
